For this reason, we separate ordinary operational information from sensitive medical documentation.

You can use many Affordia Health services without giving us access to your detailed medical records.

Two Types of Information During your journey, information generally falls into two different categories.

Operational Data Information required to organise and provide Affordia Health services.

Medical Data Sensitive information relating to your health, diagnosis, medical history, examinations, treatment or other clinical matters.

We treat these categories differently.

1. Operational Data Information We Need to Provide Your Services If you ask Affordia Health to organise or coordinate services for you, we need certain information to make those services work.

Depending on the services you choose, this may include:

your name, contact information, country of residence, preferred language, travel dates, destination, flight or arrival information, accommodation information, appointment information, services requested, transportation requirements, communication preferences, and other information reasonably necessary to organise your journey.

This information allows us to perform the services you request.

How We Use Operational Data Depending on your selected services, Affordia Health may need to:

collect use store organise communicate translate where necessary and share relevant information with appropriate service providers in order to provide your services.

For example, an airport pickup provider may need your name, arrival airport and flight information.

An interpreter may need information about the location and time of an appointment.

An accommodation provider may require reservation information.

Only information relevant to the particular service should be shared where reasonably possible.

Operational Data May Need to Be Shared Affordia Health coordinates services involving different parties.

Depending on what you purchase, relevant operational information may therefore need to be shared with third parties involved in providing your journey.

These may include:

transportation providers, accommodation providers, interpreters, local coordinators, healthcare institutions, and other service providers necessary for the services you request.

By requesting Affordia Health to provide these services, you acknowledge that the operational information reasonably necessary to perform them may need to be processed and communicated to the relevant parties.

2. Medical Data Your Medical Records Are Different Medical information requires a higher level of care.

This may include:

medical reports, diagnoses, laboratory results, medical imaging, prescriptions, treatment history, previous procedures, doctor reports, and other information concerning your health.

Affordia Health does not automatically require access to your complete medical history simply because you use our services.

Your medical records can remain with you.

Option A — Privacy-First Journey Keep Your Medical Records With You If you prefer maximum control over your medical information, you can choose not to provide your detailed medical records to Affordia Health.

You can still use appropriate non-clinical Affordia Health services.

Depending on your journey, we may assist with:

hospital access, travel coordination, visa preparation assistance, airport pickup, accommodation, transportation, interpretation, and local support without holding your complete medical documentation.

You can keep your medical records yourself and provide them directly to the healthcare provider when required.

Where appropriate, your medical consultation and detailed clinical assessment can then take place directly between you and the healthcare professionals in China.

Affordia Health does not need to know everything about your health simply to help organise your journey.

Bring Your Documents Yourself Under the Privacy-First option, you can:

keep your original medical documentation, arrange translation yourself if required, bring your records with you, and provide them directly to your doctor or hospital.

This reduces the number of parties handling your sensitive medical information.

For clients who prioritise medical privacy, this may be the preferred approach.

Option B — Assisted Medical Coordination Let Us Help With Your Medical Documentation Sometimes providing medical information before arrival can make the journey easier or may be necessary for a particular healthcare provider to assess the case.

You may also want Affordia Health to help coordinate:

medical documentation, translation, communication with a healthcare institution, pre-arrival consultation, or transmission of relevant records.

In these situations, you can separately authorise Affordia Health to process specified medical information for an agreed purpose.

Separate Medical Data Authorization Providing Affordia Health with medical documentation is not intended to be automatically included in general operational data processing.

Where Affordia Health needs to process sensitive medical information on your behalf, an appropriate separate authorization or consent process may be required.

Depending on the circumstances, this can specify:

what information may be processed, why it is needed, what Affordia Health may do with it, which relevant recipients may receive it, and for what purpose it is being shared.

This creates a clear distinction between organising your journey and handling your medical records.

You Decide How Much Access We Receive There is no reason to provide Affordia Health with an entire lifetime medical history when only a limited amount of information is relevant.

Where medical information is required, we aim to work with information appropriate to the particular purpose.

Our principle is:

Only What Is Needed. Only When It Is Needed.

You remain encouraged to avoid sending unnecessary sensitive information.

Your Healthcare Provider May Need More Information Choosing the Privacy-First option does not mean a hospital or doctor will never require your medical records.

Healthcare professionals may need medical documentation to assess your condition, determine whether treatment is appropriate or make clinical decisions.

The difference is who receives that information.

Where appropriate, you may provide it directly to the healthcare provider rather than providing it through Affordia Health.

Some Cases May Require Information Before Travel Not every medical journey can be organised without prior medical information.

A hospital or specialist may require documentation before:

accepting a patient, confirming an appointment, considering a particular procedure, providing an initial medical opinion, or determining whether travelling for treatment is appropriate.

If this happens, we explain what information is being requested and what options may be available.

We do not want privacy promises to interfere with appropriate medical assessment or patient safety.

Affordia Health Is Not Your Medical Record Holder Affordia Health is a healthcare journey coordination and service company.

We are not your treating hospital.

We are not your doctor.

And our objective is not to build unnecessary permanent medical profiles about our clients.

Where detailed medical information is not required for the Affordia Health services you choose, we prefer not to collect it unnecessarily.

International Data Transfers Affordia Health operates across borders.

Depending on your location, selected services and healthcare destination, information necessary for your journey may need to move between countries, including China.

Where required, appropriate information about relevant international processing or transfers will be provided in accordance with applicable data protection requirements.

Sensitive medical information should only be transferred where there is an appropriate purpose and basis for doing so.

Third Parties Receive What They Need Providing one service does not mean every participant in your journey needs access to all your information.

A driver does not need your complete medical history.

A hotel does not need your diagnosis simply because you are travelling for healthcare.

An interpreter may require different information depending on the assignment.

A healthcare provider may legitimately require substantially more medical information.

Our objective is to keep information access appropriate to the role being performed.

The Right Information. To the Right Party. For the Right Purpose.

Communication Channels Affordia Health may communicate with clients through available channels including email, telephone, WhatsApp and WeChat.

Different communication platforms may have their own privacy practices and data-processing arrangements.

Clients should avoid sending unnecessary sensitive medical information through general communication channels unless it is required and an appropriate process has been agreed.

Where dedicated methods for transferring sensitive documentation are available, clients may be directed to use them.

You Remain in Control Depending on the service and applicable data protection requirements, clients may have rights concerning their personal information, including rights relating to access, correction, deletion or other forms of control.

Specific rights and procedures will be explained in the applicable Affordia Health Privacy Policy and related documentation.

Privacy Should Not Make Healthcare Harder Data protection should protect the client.

It should not unnecessarily complicate the client's journey.

That is why Affordia Health separates the process into two clear choices:

Privacy-First Affordia Health handles the operational information required for your journey.

You keep control of your detailed medical records and provide them directly to healthcare professionals where appropriate.

or Assisted Medical Coordination You specifically authorise Affordia Health to assist with agreed medical documentation when you want or need our help.

Both approaches can exist within the same service system.

The choice depends on your journey.
